Read the Financial Dashboard

The financial dashboard is your business cockpit. It shows you — in real time — how much your business has earned, how much it has spent, and what is left. No spreadsheets, no manual calculations: Prometheus computes everything automatically from the invoices you have sent and the purchases you have recorded.

This guide explains what each number means and how to use it to make better decisions.


Opening the Financial Dashboard

  1. In the left menu, click Business Suite
  2. Click Dashboard (or Financial Dashboard)

The 4 Essential Numbers

Revenue (Turnover)

This is the total of all invoices you have sent to clients in the displayed period. This is not the money you have received — it is the money you have invoiced (whether paid or not).

How to use it: if your revenue is growing month over month, your business is expanding. If it is stable, you have a predictable baseline.


Total Expenses

This is the sum of all supplier purchases you have recorded in the same period.

How to use it: if your expenses are growing faster than your revenue, identify which category of spending is increasing.


Net Profit (or Loss)

This is the difference between your revenue and your expenses. If the number is positive (shown in green), you are profitable. If it is negative (shown in red), you are spending more than you are earning.

Example: Revenue = €8,000 | Expenses = €3,200 | Net Profit = +€4,800


Outstanding Invoices

This is money you have billed but your clients have not yet paid.

How to use it: if this number is high, consider following up with clients who are late on payment. Prometheus can send automatic payment reminders — ask your administrator to enable this feature.


Changing the Time Period

By default, the dashboard shows the current month. To change the period:

  1. Click the date selector at the top of the dashboard
  2. Choose a period: This Month, This Quarter, This Year, or a custom date range
  3. All figures update immediately

Understanding the Charts

The dashboard includes two main charts:

Monthly Trend — a line chart showing your revenue and expenses month by month. If the revenue line stays above the expenses line, you are profitable.

Expense Breakdown — a pie chart showing which categories of spending are the largest. Useful for identifying where to reduce costs.


Frequently Asked Questions

Why does my Prometheus revenue differ from my bank account balance? Prometheus shows what you have billed, not what you have received. If a client has not yet paid, their invoice is included in your revenue but has not reached your bank account yet. This is completely normal.

Does this replace my official accounting? No. Prometheus gives you a real-time management view of your financials, but your official accounts (balance sheet, tax filings) must be prepared by a certified accountant. You can export all Prometheus data in an accountant-compatible format to simplify this process.

How do I export the data? At the top of the dashboard, click Export to download an Excel or CSV file containing all your transactions for the selected period.
